Information you provide

  • Journey requests: your name, email, telephone number, pickup and destination, travel date and time, passenger and luggage details, flight information, return-journey details and any message.
  • Business enquiries: company and contact details, anticipated travel requirements and your message.
  • Contact enquiries: contact details, the subject of your enquiry and correspondence.
  • Driver enquiries: your contact details and the licence, experience, vehicle and availability information you choose to provide.

Our website forms send your enquiry to the office by email. The website does not currently take card payments or send bookings directly into iCabbi. Booking details are entered into iCabbi by the business owner. Please do not enter payment-card details, identity documents or medical records in a website form.

Why we use your information

Booking details recorded in iCabbi help us arrange journeys and recognise repeat customers, usually using their telephone number. Recognising a returning customer does not automatically confirm a new booking.

  • To answer enquiries, provide quotes and arrange journeys you request. The basis is taking steps at your request before a contract, or performing an agreed contract.
  • To consider business-account and driver enquiries. The basis is steps requested before an agreement, or our legitimate interest in responding to business and recruitment enquiries.
  • To handle complaints, protect our service and investigate problems. We rely on legitimate interests, balanced against your rights.
  • To keep records required by applicable licensing, accounting or other laws. We rely on the relevant legal obligation.

Details needed to arrange a journey are required for us to respond or provide the service. Optional information should be limited to what we need. Where consent is the basis for a particular use, you can withdraw it by contacting us. A service enquiry is not consent to receive marketing.

Passenger assistance information

If you need help with a journey, please telephone the office to discuss practical requirements. Avoid putting diagnoses or detailed health information in the form. Any sensitive information needed to arrange assistance must be handled under an appropriate legal basis and special-category condition.

Who receives information

Only the business owner accesses website enquiry emails. For bookings, the owner enters the necessary customer and journey details into the iCabbi dispatch system. Drivers receive the journey details they need to complete an agreed booking. We may also use hosting, email, dispatch, accounting and IT suppliers, professional advisers or insurers where necessary, and disclose records to public authorities when required by law.

The website is hosted with IONOS and uses Contact Form 7 to send form messages. IONOS states that its Web Hosting service collects technical visitor information, including requested pages, access times, browser and device details and an anonymised IP address, for website security, stability and quality. IONOS states that this visitor data is stored for eight weeks. Google reviews are displayed using a Trustindex widget. Review assets load from Trustindex and reviewer images load from Google; these external requests disclose technical connection information, including your IP address, to the relevant provider. The Cookie Policy explains website technologies.

Further supplier information is available in IONOS’s Web Hosting data-processing information and the Trustindex Privacy Policy. Trustindex Ltd is based in Hungary. Its policy states that personal information may be processed in other countries and describes transfer safeguards. IONOS, email and iCabbi may process information on our behalf under their contractual and security arrangements. Where personal data is transferred outside the UK, appropriate safeguards will be used.

How long information is kept

General enquiry information is used to respond to the enquiry and is not normally saved as a separate customer record. Enquiry emails are accessible only to the business owner. Enquiry emails and unsuccessful driver enquiries are kept only for as long as necessary to respond, handle relevant follow-up and meet legal requirements, then deleted. Booking records will only be kept for as long as needed to arrange and manage journeys and meet applicable licensing and legal requirements. Account and financial records are retained for applicable accounting and legal requirements. Driver enquiries are retained for the application process and any justified follow-up. Complaints may be retained while a dispute or legal claim remains relevant.

Records are reviewed and securely deleted or anonymised when they are no longer needed, subject to licensing, accounting, insurance and other legal requirements. Relevant email copies and backups are removed in line with their normal retention cycles.

Your rights

Depending on the circumstances, you may ask to access or correct your information, request deletion or restriction, object to processing based on legitimate interests, or receive certain information in a portable format. These rights have limits; for example, some records must be retained by law. Contact the office using the details above.

We do not make automated decisions about accepting website journey, business-account or driver requests. The office reviews them.

Questions or complaints

You can raise a privacy concern with us. You also have the right to complain to the Information Commissioner’s Office, without first complaining to us: ico.org.uk/make-a-complaint, telephone 0303 123 1113.

Updates

We will update this notice when our services or use of personal information changes, including when an online booking or payment system is introduced.
